Name Card Distribution
- Arrive at the new Goggin Recreational Arena so later than 2:00 pm, and go to your department's name card table. Your students will arrive 2:00 - 2:30 pm and your table needs to be ready when they arrive.
- Name Card Table set up
- A packet on each table will contain the following:
- Name Cards - Pre-printed & blank.
- Two black markers
- List of your students (the name cards correspond to this list)
- Specific information for distributing the name cards.
- Two cards with the name of your department on them. (CIT/ECE/PCE will only have one card).
- A sign to identify your department's table or tables (the student marshals may have already put up these signs prior to your arrival).
- One program for each person who has a name card.
- Goggin diagrams.
- A packet on each table will contain the following:
- Name Card Distribution
- Refer the students to the back of the card, which contains instructions for changing or phonetically spelling their name.
- Instruct the students to give the name card to the reader when they go up on platform.
- There are blank names cards and Sharpie markers for those who have no card. (We don't turn anyone away who shows up in cap & gown.)
Lining up your students
In most cases, a SEAS Marshal from your department will line up the students. However, he or she may ask for help with this task from the faculty in the department.
- Line up your students at 2:45 pm
- CSA, ENT MME, NSG: Line up your students in two equal lines. See the Goggin diagram, page 2.
- CIT, ECE, PCE: Line up your students in one line.
- PCE & ECE line up in the Red line
- CIT line up in the Blue line
- The first student in department in both lines will carry a card that identifies the beginning and ending of each department for the SEAS Marshals. Make sure both lines have the appropriate cards.
- Students wanting to sit next to each other need to line up in front of and back of each other, not side by side.
Diploma Jacket Distribution Information
- When the Dean introduces your department chair, please rise and approach the platform. Remain at the bottom of the platform, next to the diploma jacket table. Your department chair will announce the names of all from your department who are helping with the ceremony.
- Hand each student a diploma jacket as they approach the steps of the stage.
- A student marshal will assist you in keeping the jackets moved towards you.
- Return to your seat when the last name is read and the reader descends the platform.
Name Card Reader Information
As a reader, yours is the most important job at the Ceremony! Your call of a name is the reason students, parents, families and friends are there. Below is the information you need as a Reader:
- When the Dean introduces your department chair, please rise and approach the platform. When your department chair is finished with his/her brief remarks, go up on the platform and stand behind the reader's microphone.
- Adjust the microphone position so that it is no more than 3" away from your mouth - this is essential!
- As students ascend to the platform, they will have a pre-printed name card provided to us by the Registrar's Office. If a student felt his/her name could be mispronounced, they were encouraged to write it out phonetically for you. Some may have crossed out or added a married name. Please read the hand written name on the card.
- Read each name slowly and DISTINCTLY. It must sound grossly exaggerated to you in order to be understood in the arena.
- Refrain from greeting, congratulating, or shaking hands with the graduate - the dean and the department chair will do this.
- If there are cheers for the name called by the other reader, DO NOT SLOW DOWN in reading. Just be determined to read your next name very loudly and clearly.
- After you read a name, place the card FACE UP in your hand and stack all other cards face up on top of each other. (The first name you read is on the bottom of the stack, face side up.) When you have a sizable stack, or when you have finished, hand them to the student marshal behind you. KEEP THE NAME CARDS IN ORDER! The photographers use these cards to identify the students' photos.
- Return to your seat when both readers finish reading names.
